Job Description

Montgomery College, Office Student Affairs (Financial Aid Office), is seeking a full-time, Financial Aid Assistant. Work hours are typically between the hours of 8:30 am- 5:00 pm Monday through Friday, with some evening/weekend hours depending on need. This is a bargaining, non-exempt, grade 21 position located on the Rockville Campus in Rockville, MD. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College.  One (1) day of telework may be granted based on the needs of the unit.

Under direct supervision, the Financial Aid Assistant will assist in processing student financial aid applications and awards. The incumbent is the first point of contact for students and their family representatives through in-person, phone or email conversations.

The work is performed in accordance with established rules, regulations, procedures, and precedents; unusual and nonstandard matters are referred to others. Decisions require judgment regarding what actions to take based on available information and within established guidelines.

Contacts are with college faculty, staff, current and prospective students and family representatives, external entities - primarily for exchanging and verifying information, representatives for ordering supplies and maintenance of office equipment.

Duties Include but Are Not Limited To:

  • Provide general financial aid information to prospective and current students regarding eligibility, policies and procedures.
  • Explain provisions of programs. Assist students in preparing applications.
  • Receive and check applications and related documents for accuracy and completeness and notify applicants if additional information is needed.
  • Assist in processing student financial aid applications and awards.
  • Confirm students' status by checking documents; verify applicant’s data with outside agencies.
  • Enter applicant data into database, create applicant file and maintain records.
  • Assist in preparation of reports. Assist students with understanding academic progress for continued eligibility.
  • May be required to perform entry level accounting
  • May participate in financial aid outreach activities. May supervise student workers.

 

Required Qualifications

  • High School diploma or G.E.D.
  • One year of experience in student financial aid or equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job. 
  • The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
  • Customer service experience.
  • Basic knowledge of current Student Financial Aid Office policies and procedures, federal financial aid regulations and policies, state grant and loan programs and regulations, and institutional policies governing financial aid.
  • Thorough knowledge of customer service techniques for public contact.
  • Skilled in interpersonal relations (including serving a diverse community), oral and written communications.
  • Ability to communicate and work effectively with others within and outside of the institution.
  • Detailed oriented in completing tasks
  • Thorough knowledge of office procedures and practices with ability to set priorities and handle multiple tasks in a demanding office environment.
  • Exercise diplomacy, tact, and maintain confidentiality.
  • Skilled in use of business English, spelling, grammar and conventional styles and formats used in office communications.
  • Ability to perform general office clerical work, apply technical rules and procedures, perform arithmetical calculations quickly and accurately, operate common office equipment including desktop computers and relevant pc hardware and software applications.
  • Proficiency in using Microsoft Office Suite.

Preferred Qualification:

  • Accounting experience

Hiring Range: $22.89 - $36.60 per hour.  Initial salary placement for new hires falls between the minimum and midpoint of the range ($22.89 - $29.74 per hour), based on experience and internal equity.
