Job Description

This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

DESCRIPTION

Under General supervision, the incumbent will provide high-level administrative support to the Department Chair and Administrative Vice Chair (AdVC), ensuring daily operations run smoothly. This role requires sound judgment, diplomacy, and confidentiality in managing complex and highly sensitive matters. Acting on behalf of the Chair, the incumbent will address issues requiring a deep understanding of the department's historical, political, and business operations.

This position manages the complex calendars and commitments of the Chair and AdVC handles all communication and oversees travel arrangements and reimbursements. The incumbent is responsible for organizing meetings, events, and conferences while ensuring professionalism and confidentiality.

The incumbent will be involved in the development of programs and policies within the Department while providing proactive analytical executive administrative support for the office of the Chair and AdVC of Radiology. This support touches on all areas of the Department, including senior management, and department leadership, as well as other university personnel at all levels, outside vendors, community leaders, and government officials.

The incumbent will act on the Chair's behalf on issues that require thorough historical and political understanding that relate to standard and non-standard department business operations. The incumbent will independently gather and analyze data, and compose technical and non-technical correspondence, speeches, and presentation materials.

In addition to managing the Department's Alumni Association, which includes budgeting, event planning, fundraising, and maintaining alumni databases, this role is responsible for coordinating department-wide events at the discretion of the Chair and AdVC. This includes overseeing logistics for internal and external events and ensuring the seamless execution of all activities.

The position also supports research initiatives, contract administration, purchasing, and faculty recruitment. As a key liaison between Radiology and internal/external stakeholders, including UC academic institutions and outside collaborators, the incumbent functions with a high degree of autonomy, ensuring the smooth operation of the department and performing other duties as required.

MINIMUM QUALIFICATIONS
  • Six years of related experience, education/training, OR a Bachelor's degree in related area plus two years of related experience/training.

  • Working knowledge of common organization- or research-specific and other computer application programs.

  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Superior proofreading and editing skills to ensure accuracy and correct grammatical content of documents. Strong composition, editing, and proofreading skills to review copy for appropriate style, consistency, format, completeness, errors, etc.

  • Proficient in ability to use discretion and maintain all confidentiality.

  • Demonstrates ability to use sound judgment in responding to issues and concerns. Demonstrated ability to resolve conflicts with creativity and authority while maintaining a professional relationship. Ability to control situations or events in the absence of higher authority and ability to make recommendations or decisions that affect office operations and activities.

  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail. Skill in analyzing information, situations, practices, or procedures to define the problem or objective, identify relevant factors, formulate logical and objective conclusions, and recognize alternatives and their implications.

  • Proficient in ability to multi-task with demanding timeframes. Demonstrated advanced organizational and project management skills, including ability to work independently, determine appropriate priorities, and complete projects accurately, efficiently, and with a high level of attention to detail, despite competing deadlines.

  • Working knowledge of applicable policy analysis techniques.

  • Demonstrated superb interpersonal skills to successfully interact with a variety of people, including high-level executives, civic leaders, and members of the community from diverse cultures and backgrounds. Ability to exercise political acumen and maintain strict confidentiality (in interactions with both internal and external people) concerning work-related information.

  • Demonstrated experience with complex calendaring, travel, and event planning.

  • Intermediate to advanced knowledge of common organization-specific computer applications. Demonstrated experience with a wide range of computer software, including calendar, spreadsheet, database and word processing applications.

  • Demonstrated competency and commitment to equity, diversity, and inclusion.

Pay Transparency Act

Annual Full Pay Range: $58,600 - $100,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $28.07 - $48.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
