The Advising Specialist provides information, guidance, and personalized advisement to Certificate, Associate in Science, and Bachelor of Applied Science students. The Advising Specialist is responsible for providing direction, information, personal attention, care, and support to students in the development and planning of their educational pursuit.

Job Description

Santa Fe College is seeking an Advising Specialist for Business Programs to provide information, guidance, personalized advisement, registration assistance, and recruitment support to Business Program students at the Blount Center. The Advising Specialist prepares students to achieve their professional and educational goals by helping them explore academic options, develop academic plans for success, register for coursework, and make timely progress toward degree completion.

An Advising Specialist must possess a student-centered advisement philosophy and have a demonstrated ability to work well with students, faculty, and staff. Additionally, they must understand the need to maintain a flexible schedule which could include evening and weekend availability with prior notice. 

Responsibilities and duties include:

  • Assists in all advisement efforts, including pre-requisite and program course academic advisement, using various modes of communication, embracing progressive advisement and student success in a technology rich environment.
  • Works primarily with an assigned case load of students responding to at-risk reporting with appropriate student outreach and follow-up, tracking their progress through their program of study, and providing guidance and assistance as needed.
  • Assists incoming students with placement, academic and career path guidance, and initial course selection.
  • Interprets and explains requirements for vocational certificates, terminal and transfer degrees.
  • Responds to student inquires and requests for information via phone, email, zoom, social media, etc.
  • Participates in advisement initiatives including presenting to small and large groups of students during workshops, class presentations, as well as assisting with special events such as Gator Day which may be conducted during evenings and weekends.
  • Speaks to small and large groups of potential students and their parents, explaining programs, career opportunities, educational and career lattices and employment potential.
  • Serve as a liaison between the Academic Advisement Center and academic departments at SF and University of Florida.
  • Collaborates with SF’s Counseling Center, Career Resources Center, Office for Admissions, and other departments across campus to provide appropriate referrals for students.
  • Maintains positive and close relationships with Academic Chairs to ensure a smooth admissions process to limited enrollment programs, assists students with registration and enrollment issues, monitors student progress, provides accurate and timely data, and coordinates tours.
  • Completes reporting requirements for internal and external stakeholders.
  • Networks with area schools and industry partners.
  • Serves on college-wide committees as appropriate.
  • Works as a positive and effective team member in a dynamic environment.
  • Strictly honors the privacy and security of student records and other sensitive information according to appropriate state, federal and college regulations, policies and procedures.
  • Provide service excellence through courteous, informed, accessible and professional engagement.
  • Performs other duties as assigned.

Reports to: Chair, Business Programs

QUALIFICATIONS

Required:  Bachelor’s degree and two (2) years of related work experience in academic advisement, student affairs, student services, counseling, mentoring and/or a related area is required

Additional Requirements:  A criminal background check will be conducted.

Preferred:  Master’s degree in student Personnel, Educational Leadership, Counseling and/or a relevant field is preferred, as is experience with college academic advising; bilingual applicants are strongly preferred.

  • Results Orientation – proven ability to set and exceed established targets.
  • Systems & Software - proficient level of knowledge of Microsoft Office and/or relevant position software programs.
  • Detail Oriented - Proven accuracy and attention to detail.
  • Multi-task - Ability to expeditiously organize, coordinate, manage, prioritize, and perform multiple tasks simultaneously to swiftly assess a situation, determine a logical course of action, and apply the appropriate response.
