Full-time administrative assistant to oversee the daily operations of the main office of both the new Raclin Murphy Museum of Art and the Snite Research Center in the Visual Arts (formerly the Snite Museum of Art). This position will physically be based in the Snite Research Center, which is the location of the main museum administrative office. This position will assist the museum director/sculpture curator, Dr. Joseph A. Becherer, with donor correspondence and mailings, making travel arrangements for him and museum guests, and organizing and staffing museum events and council meetings.
- Be the initial contact for all requests by other University units to hold events or programs in either museum building. Once the event request is approved by the directors, then schedule the event’s A/V request, and work with the Museum’s security coordinator and building housekeepers to schedule their assistance as needed.
-Prepare mailings to council, donors, etc., including the generation of mailing labels and preparing FedEx shipments using the online system.
-Greet visitors when they access the admin level to meet with the Museum Director or other senior museum staff. Answer the main phone lines for both buildings, screen and route calls, provide general information to callers. Run errands on campus and distribute the mail.
-Assist the Museum Director with all details of the annual and spring Museum Council meetings, such as ordering the meals, refreshments, supplies, and A/V tech needs for the meetings. Handle the registration forms and answer guests’ questions about event details. Staff the meetings.
-Book hotel rooms and other travel arrangements as needed for the Museum Director and museum guests. They will oversee all accommodations, especially those for VIP visitors and artists visiting the museum.
-Special Events: Assist with planning meals, scheduling A/V tech, chairs, tables, etc., for evening and weekend museum events, such as exhibition receptions, breakfasts, lunch, and dinner meetings. This includes staffing them to greet guests, supervise set-up and clean-up.
-Using BuyND, order office supplies, coffee, tea, water, etc., for museum staff break rooms in both buildings and handle office equipment repairs, supplies, etc. Enter Maintenance requests into the campus AIM system.

Minimum Qualifications
- Education: Bachelor’s degree (4 years)
- Experience: 1 to 2 years
- Degree (Knowledge): BA in Art, Art History, Humanities, Business, English or Communications.
- Skills: Accurate typing at a minimum of 40 words a minute. Proficiency with Word and Excel software. Must possess a flexible attitude, good people skills, a customer-service attitude, professional telephone manners, and excellent proofreading skills. Must be detail-orientated and work well with various people (museum colleagues, volunteers, donors, the general public, etc.).
- Physical requirements: Keyboarding, setting up tables and chairs for events, and delivering mail and packages between buildings.
Preferred Qualifications
- Experience organizing events and using any UND online systems (BuyND, TravelND, etc.) is preferred.
