Virtual Learning Specialist

Reports to: Director of Education & Training

Supervises: N/A

Hours: Full time

FLSA Status: Non-Exempt

The salary range for this role is $25.56 - $37.07 per hour. The HIRING range is $25.56 - $29.36 per hour depending on experience.

Position Summary:

The Virtual Learning Specialist supports the execution of all virtual training events and registration for all in-person and virtual events/conferences in the NWRPCA Education & Training Department. The Virtual Learning Specialist is responsible for supporting the preparation, development, implementation, coordination, and evaluation of all virtual training programs, including but not limited to virtual events, trainings, learning collaboratives, self-paced courses, certification programs, certificates, and other learning methods. Additionally, this role is responsible for registration management (including setup, communication, and onsite) for all in-person and virtual events/conferences.

Duties and Responsibilities:

Learning Management System Management: 30% of 1.0 FTE

1. In collaboration with the Director of Education and Training, curates content for virtual trainings, webinars, and other virtual learning opportunities.

2. Creates timely and innovative content both in a variety of delivery modalities.

3. Manages the day-to-day operations of the LMS.

4. Keep apprised of other competitors' content and delivery.

5. Coordinates collection and summarization of all virtual programs evaluation and attendance data

6. Disseminates evaluation results to speakers and partner organizations.

7. Creates and maintains monthly status reports on usage and revenue.

8. In coordination with the Director of Education & Training, develop and manage budget for virtual learning opportunities.

Virtual Learning Coordination: 20% of 1.0 FTE

1. Creates all webinar events in Zoom, schedules and leads stand-alone webinar/virtual training rehearsals, launches and hosts all webinars/virtual trainings, and maintains webinar/virtual training attendance and evaluation data

2. Manages all speaker communications and preparation for virtual learning sessions in coordination with the Director of Education & Training.

3. Maintains calendar of virtual learning offerings.

Registration Duties: 20% of 1.0 FTE

1. Oversees Registration for all in-person conferences and virtual events

2. Creates and maintains all registration pages for in-person conferences and virtual events including the creation and maintenance of event waiting lists.

3. Management of communication with attendees via registration mailbox including calendar invites and “know before you go” communications for all virtual events.

4. In collaboration with Support, assists with managing the registration email inbox and provides customer service to event attendees, sponsors, and community partners via phone and email

5. Regular reporting of registration status for virtual events.

6. Oversees registration payment process for in-person and virtual events and ensures that attendees register under the correct rate; provides follow-up with pending or unpaid invoices, and handles (or manages) refund process.

Evaluation Duties: 10% of 1.0 FTE

1. Assists in the collection of all conference virtual events program evaluation and attendance data.

2. Coordinates collection and summarization of all virtual events evaluation and attendance data

3. Supports the dissemination of evaluation results for all virtual events to speakers and partner organizations.

CEU Responsibilities: 15% of 1.0 FTE

1. Oversees Continuing Education Unit (CEU) applications for in-person conferences and virtual events.

2. Ensures that attendees comply with CEU guidelines and issues CEU certificates for in-person conferences and virtual events.

Other Responsibilities: 5% of 1.0 FTE

1. In coordination with E&T Director, develops Training Needs Survey.

2. Serves as backup to Support for in-person conferences evaluations.

3. Other duties as required.

Qualifications:

Required:

  • Bachelor’s degree or 2-3 years of professional experience in an office environment (or work from home)
  • Must be able to support three in-person conferences at the venue (must be in-person). Additional in-person conferences may be added in the future.
  • High level proficiency and working knowledge of Zoom, Microsoft Word, Excel, PowerPoint, Website navigation, and ability to learn and proficiently use new software programs quickly
  • Knowledge of and experience in use of distance learning technologies such as Zoom and Learning Management Systems
  • Professional, self-motivated, flexible, cooperative, communicative, a creative problem solver and committed to social justice.
  • Confident and proactive self-starter who is skilled in taking initiative and working well independently
  • Exceptional customer service, including prompt, professional, high-quality verbal and written communications
  • Demonstrated ability to collaborate, communicate, and work effectively with diverse staff
  • Demonstrate an awareness of, a value for, and the inclusion of cultural humility in task implementation.

Preferred:

  • Experience in community health, policy/advocacy organizations or nonprofit associations.

Physical Requirements:

  • Most time spent sitting, with up to one-third (1/3) of time walking or standing. There are no restrictions on ability to interrupt periods of sitting.
  • Manual dexterity required for typing, filing, etc.
  • Minimal lifting.
  • Vision requirements as appropriate for working on computer and with typed and handwritten materials.
  • Must be able to support three in-person conferences at the venue (must be in-person). Additional in-person conferences may be added in the future.
  • Ability to drive / travel to meetings in a variety of locations as needed
  • NWRPCA is a primarily virtual organization however, we do require attendance at in-person meetings and conferences.
