Unit Description:
University Housing serves as a unit within DASA. University Housing is a comprehensive department that provides services and high-impact experiences for over 10,000 on-campus residents through residence life, residential learning, housing operations, facilities and business operations, administration and occupancy management and conference services. Essential Job Duties

At University Housing, you’ll be part of a collaborative team dedicated to enhancing student life. As the Executive Assistant you get to play a key role in shaping the experience of students, staff, and families while working alongside professionals who value innovation, inclusion, and excellence.

Key Responsibilities include but are not limited to:
  • Oversee day-to-day administrative operations, including supervising the University Housing front desk and the Housing Support Specialist.
  • Act as the primary administrative contact, facilitating communication and coordination between departments and external stakeholders.
  • Manage the Executive Director and AVC’s calendar, schedule meetings, plan travel, and prepare materials to ensure they are well-equipped for all engagements.
  • Research, prioritize, and address incoming issues on behalf of the AVC, collaborating with the Office of Student Life and Advocacy to triage and resolve student and parent concerns.
  • Foster positive relationships with team members, students, parents, and external partners by demonstrating discretion, diplomacy, and excellent interpersonal skills.
  • Handle confidential matters with integrity, attention to detail, and professionalism.
  • Contribute to a supportive and welcoming environment by being proactive, compassionate, and approachable.

Minimum Experience/Education

High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate’s degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor’s degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Experience with maintaining and monitoring budgets.
  • Related office management experience with increasing levels of responsibility.
  • Ability to develop and manage databases and proficiency in the use of Microsoft Excel and Google
  • Docs.
  • Experience in editing informational materials (print and online publications) with knowledge of proper use of grammar and terminology.

Preferred Qualifications

  • Previous office management experience with increasing levels of responsibility.
  • Experience using PeopleSoft Financials and HR or similar systems.
