We are seeking a detailed and dynamic team member with a can-do attitude to help us develop the next generation of stem talent. APL's STEM Program Management Office engages over 3,000 students each year in authentic STEM experiences with the goal of exciting and preparing those students to be the future innovators of tomorrow. In the STEM office, our work is personally rewarding, collaborative, and dynamic. In other words, we take our work seriously, but have a lot of fun doing it. As the STEM Program Management Office Assistant, your job is essential to the success of our mission.

 

As the STEM Program Administrative Assistant you will be expected to operate with minimal supervision, adjudicate competing needs to provide programmatic support, and solve problems. Your daily tasks will be to…

  • Work with the STEM Program Specialists to order food and materials, assist with MESA kit assembly and maintaining distribution records, assist with event planning and logistics, set up and break down for events, serve as the primary backup for STEM Academy evening support, provide STEM Academy Expo support, set up and break down the Learning Labs for STEM Academy, support STEM Center equipment maintenance and training, and coordinate laptop exchanges and equipment certification/ repairs.
  • Be responsible for processing payments to vendors and maintaining records of purchases and payments, processing and maintaining applications and registrations, processing tickets to move and ship materials, processing check requests and reconciling purchases, collecting data for reports, and booking space for events.
  • Provide additional programmatic support by updating information on the internal and external STEM websites, helping administer surveys, providing customer service to key stakeholder groups (teachers, parents, and students), maintaining inventory and organizing materials, providing meeting and travel logistics support (booking cars, airfare, lodging), attending and coordinating travel to MESA’s national conference for up to one week, and maintaining materials and records on the STEM Program Management Office’s data management platforms (LMS, student information system, Box, and SharePoint).

Qualifications

You meet our minimum qualifications for the job if you...

 

  • Have a high school diploma or equivalent.
  • Have at least 3 years of experience as a program assistant or office manager, performing duties including office management, event planning, detailed reconciliation of expenses, and handle external communications professionally and courteously.
  • Have demonstrated experience managing databases or student information systems.
  • Are proficient in SharePoint and the Microsoft Office Suite (especially Excel).
  • Are highly organized and have demonstrated the ability to be efficient in a dynamic environment.
  • Have the ability to independently prioritize and manage multiple, concurrent tasks.
  • Can travel to out-of-state events on a limited basis.
  • Are willing and able to work occasional evenings and weekends.
  • Can travel to local meetings and events.

  • Have completed some business coursework in college or have a Bachelor's degree.
  • Have extensive project planning experience.
  • Have been an assistant for a STEM program, or have been an assistant for an educational institution.

The referenced pay range is based on JHU APL’s good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development. $22.80 Hourly
