Department Summary

Grants and Contracts Administration (GCA) within the Division of Research & Innovation supports the University of North Texas, a tier 1 research university, in its endeavor to excel in its research mission. GCA aspires to be a model organization in the field of research administration, providing exceptional service to the university community. We are charged with the Pre Award and Post Award administration of externally funded sponsored projects and envision an environment that facilitates the University of North Texas’ commitment to research and encourages continued efforts to attract additional research funding.

Position Overview

This position is responsible for administering financial accounting for sponsored grant awards; including review and setup of awards, monitoring progress, preparing invoices and financial reports, and performing award close-out duties. Must be able to interpret award guidelines, and remain current with federal and state policies for external sponsors to maintain legal and financial compliance. Position also assists in preparing documents for information requests, financial reporting, audits, and other duties as assigned. This position will oversee Accounts Receivable maintenance, billing and collections.

Minimum Qualifications

Bachelor's degree in Business Admin, Finance, Accounting, Public Admin, Higher Ed or related & 2 years business administration, grant and contract administration, or research work; or any equivalent combination of education, training and experience.

Knowledge, Skills and Abilities

  • High level math/accounting skills, strong reading comprehension skills, ability to interpret guidelines and instructions.
  • Strong communication and interpersonal skills, and customer service.
  • Ability to negotiate highly complex sponsor terms and conditions of awards.

Job Duties:

  • Reviews grant award invoicing requirements, prepares and submits invoices along with appropriate support based upon those requirements. Tracks outstanding award receivables and follows up on delinquent invoices. Prepare accounts receivable updates and reports. Works with PI and sponsor to facilitate problem resolution and works to reduce conflict and establish smooth working relations.
  • Setup sponsored awards appropriately by gaining understanding of complex terms and conditions and entering them in the financial system. Provides administrative oversight throughout the life of the award. Facilitate problem resolution by offering positive and engaging assistance to Principal Investigators, other faculty, and research administration personnel. Provide frequent status updates on awards, and effectively communicate timely responses to questions and requests for information.
  • Works with Contracts and Pre Award teams to help with modifications and sub award agreement updates as needed.
  • Prepares required financial reports for highly complex projects, assist with audits, and prepare documents for requests for information and audits. Attention to detail and accuracy are key factors.
  • Ensures timely and accurate award closeout, and prepares final reports and invoices. Prepares closing accounting entries. This position will oversee Accounts Receivable maintenance, billing and collections.
  • Monitor awards to ensure compliance with award terms and conditions, sponsor regulations, institutional, and state and local laws.
  • Responsible for remaining current in best practices in the field of research administration. Pursues professional development opportunities by participating continuing education training, conferences and webinars. Also provides post award training to faculty, staff and other campus personnel.
  • Participates in special projects and other duties as assigned by supervisor.
