Primary Responsibilities:

 


The Program & Human Resources Coordinator provides professional support to the AmeriCorps Healthy Futures Program Manager and Human Resources Officer by managing and performing daily critical tasks. This role works closely with the Program Manager and Recruitment & Retention Service Member to coordinate and support efforts toward fulfilling programmatic goals. This role will also support agency wide recruitment efforts in managing the onboarding process of new team members (employees, independent contractors, volunteers and AmeriCorps Service Members).

 


Qualifications:

  • US Citizen or Permanent Resident
  • Valid Florida Driver’s License and access to a reliable vehicle
  • Ability to travel to various schools and other recruitment facilities
  • BA/BS Degree from an accredited university and/or an equivalent combination of education and experience.
  • Proven track record of the position’s “key attributes”
  • Bilingual English/Spanish preferred

 

Job Responsibilities:


 

Recruitment and Onboarding

  • Manage recruitment efforts which includes job postings, screening, interviewing, and background screenings for employees, independent contractors, volunteers and AmeriCorps service members.
  • Manage onboarding logistics and coordinate orientation activities for new team members.
  • Track the expiration of required certificates, documents and clearances per team member and coordinate the renewal of items as necessary.
  • Lead AmeriCorps Member recruitment efforts each term.
  • Assist AmeriCorps Applicants with the application/enrollment process each term.

 

Program Coordination

  • Provide ongoing administrative support to the Healthy Futures Program Manager.
  • Assist the Program Manager in developing, coordinating, and delivering volunteer and service-learning projects in line with approved activities and Performance Measures.
  • Plan and coordinate AmeriCorps bi-weekly meetings, training, and special events.
  • Order and distribute AmeriCorps and VF program gear and supplies.
  • Lead member enrollment training
  • Attend monthly and quarterly AmeriCorps (Volunteer Florida) meetings and training.
  • Assist in setting up Service Member professional and personal development workshops.

 

Documentation and Reporting

  • Complete AmeriCorps timesheet corrections and submissions in BambooHR bi-weekly.
  • Collect and submit AmeriCorps (PAR’s) and approved timesheets by the 10th of each month.
  • Track and distribute individual service hours to AmeriCorps Members monthly.
  • Monitor and report AmeriCorps site challenges, needs, or opportunities for improvement monthly.
  • Track the individual progress of each service member.
  • Maintain 32 AmeriCorps files according to compliance requirements.
  • Track service hours weekly until the completion of service.
  • Track, monitor, and record necessary performance data bi-weekly.
  • Collect required documents timely.

 

Internal and External Communication

  • Develop and maintain strong rapport with AmeriCorps Members to encourage program completion and retention.
  • Maintain daily contact with program staff and supervisor to exchange information and discuss issues.
  • Build and maintain relationships with community groups, school staff, volunteers, and others to recruit and resolve challenges.

 

  • Other duties as assigned consistent with the grant-approved general requirements, and qualifications of the position.
