JOB SUMMARY

Under the supervision of the Senior Project Manager, you will be responsible for organizing and coordinating projects, as well as maintaining good customer service to both internal and external stakeholders.

This position reports to the Sr. Project Manager

RESPONSIBILITIES

1. PROJECT AND PROGRAM WORK

· Work with existing projects to get regular reports and updates

· Conduct research on new projects as needed

· Enters data, monitors files and troubleshoots on server

· Uses data management software to monitor project status and provide reports

· Enter, update, and manage ongoing project data

· Present information to the Project Manager(s) and others as directed

· Help support and engage Maestro Cares Foundation team

· Identify strategies for more effective communication with project sites and other stakeholders, both internal and external

· Coordinates logistics for events

· Function as liaison for Project Department and other internal departments

· Collaborate with Maestro Cares staff for marketing and communications purposes

· Provide support to Project Manager(s):

o Managing deadlines and progress across the team to ensure the projects are on time and on budget. Overseeing the delivery of projects and adjusting as necessary to ensure they are delivered to specifications and high standards

o Upload project management documents to the server

o Create new sets of administrative procedures if necessary and ensure an efficient flow of information

o Provide support on reports such as One Pager English and/or Spanish versions

· Maintain calendar of project events such as groundbreaking, grand opening, etc.

· Organize/ manage project checklists

· Coordinate vendor assignments, scheduling, and timelines

· Coordinate all activities related to project site travel

· Effectively meet deadlines

· Assist in compiling best practices for the project department

2. EVENT PLANNING AND ACTIVATION

· Assist with all fundraising events such as Galas, ground breakings, grand openings, cocktail receptions, etc.

· Plan and coordinate all on-site logistics and communications

· Make travel and transportation arrangements as necessary

· Assist with fundraising activities to support existing program operations

· Create post-event reports including recaps, project evaluation, and overall project results

3. PERFORM OTHER DUTIES AS ASSIGNED

QUALIFICATIONS

· Bachelor’s degree or commensurate experience

· Must be fully bi-lingual- English/Spanish

· Strong written and verbal communication skills – English/Spanish

· Strong attention to detail

· Must hold a valid US passport

· Must be open to new learning experiences

· Ability to manage multiple projects effectively with minimal supervision and collaboratively in a team

· Must possess a high level of flexibility, technical capacity, and time management skills

· Demonstrate a proactive approach, personal effectiveness, and the ability to collaborate and keep composure under pressure

· Exceptional interpersonal skills

COVID-19 CONSIDERATIONS: All in-person employees of the Maestro Cares Foundation must show proof of Covid-19 vaccination, including a booster shot.

JOB DETAILS: Full-time exempt, in-office position, the candidate must be based in Chicago, IL.

SCHEDULE: Monday to Friday 9am to 5pm or 10am to 6pm

SALARY and APPLICATION DETAILS: MCF offers a competitive salary commensurate with the applicant’s skills and experience.
